VID’s main rules for affiliation in academic publications
- An institution must be quoted as the author’s affiliation in a publication if the institution has made a necessary and material contribution to or provided a basis for the author’s contribution to the published work.
- The author in question must also quote other institutions as the author’s affiliation if these in each case also satisfy the requirement in section 1.
- Employment or supervisory responsibility can be considered justification for crediting an institution given that the requirement in section 1 is met.
Affiliation for academic employees at VID
VID employees who write or co-write a publication, should use “VID Specialized University” or “VID vitenskapelige høgskole” as their author affiliation for publications based on research carried out as an employee at VID. Faculty or centre should also be included in the author affiliation.
The author in question should also credit the other institutions in the publication if the requirement in section 1 above is met.
When using two or more institutional author affiliations, these should be quoted as follows: “Faculty/Centre, VID Specialized University and XXX institution”, or the equivalent in other languages.
The affiliation where the author has her/his main position must be specified first.
Employees in positions without a research component at VID cannot use VID as their author affiliation in publications if VID has not made a necessary and material contribution to or provided a basis for the published work.
Affiliation for VID doctoral research fellows
Like other academic employees, doctoral research fellows employed at VID must specify an affiliation to VID in their publications when the publication is a product of work performed as part of their employment at VID.
The author in question must also credit any other institution to which the requirement in section 2 above is applicable.
Externally employed doctoral research fellows must quote VID as their author affiliation in the publication if VID has made a necessary and material contribution to, or provided a basis for the published work. Actively exercising supervisory responsibility in relation to the relevant publication constitutes a sufficient contribution.
The author in question must also include their principal employer’s affiliation on publications if the requirement in section 1 above is met.
Affiliation for emeriti with a workplace at VID
The faculty and centres shall, as far as possible, ensure that emeriti include VID Specialized University as the author’s address in line with good practice for crediting, if the requirement in section 1 of the main rule is met.
Affiliation for externally paid researchers who are affiliated to VID
Faculty and centres encourage externally paid researchers to include VID Specialized University as the author’s affiliation in line with good practice for crediting partners if the requirement in section 1 above is met.
Examples of affiliation
If an author has her/his main position at the Faculty of Theology, Diaconia and Leadership Studies at VID Specialized University, the affiliation should look like this:
- Faculty of Theology, Diaconia and Leadership Studies, VID Specialized University
If an author at VID Specialized University has an additional employment, for example at the University of Stavanger, the affiliation can look like this:
- Faculty of Theology, Diaconia and Leadership Studies, VID Specialized University and Faculty of Social Studies, University of Stavanger
If an author at the University of Stavanger has a teaching position at VID Specialized University, the affiliation can look like this:
- Faculty of Social Studies, University of Stavanger and Faculty of Theology, Diaconia and Leadership Studies, VID Specialized University
Affiliation and reporting to the Database for Statistics on Higher Education
In order for an institution to be able to count a publication in whole or in part when reporting to the Database for Statistics on Higher Education, the institution’s name, i.e. VID vitenskapelige høgskole / VID Specialized University, must appear as the author’s affiliation in the publication itself. If only the faculty is listed as the author’s affiliation, this is not sufficient, and the publication thus cannot be credited to VID.
When reporting to the Database for Statistics on Higher Education, it is mandatory to register all the author’s affiliations given in the publication.
