Educloud

Are you a master's student working with special categories of personal data in your thesis? Use Educloud to store them securely.

Why?

Educloud is a research platform developed by the University of Oslo that:

  • Allows you to store special categories of personal data in accordance with privacy regulations.
  • Makes your data accessible to both you and your supervisor.
  • Can be integrated with other tools such as Nettskjema (for data collection) and Autotekst (for automatic transcription).

What is needed?

If you meet the following requirements, you can gain access to Educloud:

  • You are collecting special categories of personal data in your master's project, or other data classified as red with a need for secure data storage.
  • Your project has been assessed and approved by your supervisor and Sikt.
  • Your project has been pre-approved by the Regional Committees for Medical and Health Research Ethics (REK), if applicable.

What are special categories of personal data?

Special categories of personal data (Norwegian Data Protection Authority), often referred to as red data or sensitive personal data, include:

  • Health information and other information related to a person's health status.
  • Information about racial or ethnic origin.
  • Information about political opinions, religion, philosophical beliefs, or trade union membership.
  • Genetic data and biometric data for the purpose of uniquely identifying a natural person.
  • Information about a natural person's sexual relations or sexual orientation.

How to get started

You must first request access to Educloud. The library will send you a confirmation via email once access has been established. The confirmation also includes important information about your Educloud project, such as the name of the project.

Once you have received the confirmation, follow the instructions below to start using Educloud.

1. Create an account

You must register in Educloud using your VID email address (studentnumber@vidstud.no, for example, 123456@vidstud.no).

NB: Do not use your personal email address or an email address from another workplace or educational institution.

  1. Go to research.educloud.no.
  2. Under Project Membership, click on Apply for project membership.
  3. Sign in using your preferred method (MinID, BankID, etc.).
  4. Enter the Project code you received via email, for example, "ec279".
  5. Verify your identity with your name, personal number, and VID email address.
  6. Check the box to "confirm your National-ID" and Submit application.

After you register as an Educloud user with VID, an administrator will approve your registration before you gain access. This may take up to two days. If you haven't received your approval after a couple of days, we recommend that you contact support.

2. Set up your password and two-factor authentication.

Signing in to Educloud requires your username, your custom password, and a one-time passcode (OTP) for two-factor authentication. These security measures ensure that your data is stored safely. Therefore, you need to set up two-factor authentication on your mobile phone.

Username

Your username will be sent to you via email, e.g., ec-username.

Create Password

  1. Go to research.educloud.no.
  2. Click on Change your Password.
  3. Sign in via ID-porten.
  4. Enter a strong password and click Set new password.

Set Up Two-Factor Authentication

  1. On your computer, go to research.educloud.no and click on Change your OTP.  
  2. Sign in via ID-porten.  
  3. Select Generate new QR code.  
  4. On your mobile, open the Microsoft Authenticator app (Download: Android or iPhone).  
  5. If you haven't used the app before, tap Get started. Otherwise, click on the plus icon and select Work or school account.  
  6. Choose Scan a QR code and scan the QR code with the camera that opens. This will link Educloud and Microsoft Authenticator, giving you access to a one-time code generated every 30 seconds in the app.  
  7. On your computer, under Verify One Time Passcode, enter the 6 digits from the authentication app and click Save.

3. Download Horizon Client

The best way to use Educloud is with the Horizon Client application, which allows you to work on a virtual desktop similar to the one you have on your own machine.

4. Sign in to Educloud

Once you have a username, password, and two-factor authentication, you can log in to Educloud using the Horizon Client application.

To log in, follow these steps:

  1. Open the Horizon Client application on your machine.
  2. Click on Add server.
  3. Enter view.educloud.no and click Connect.
  4. Enter your ec-username and a two-factor authentication code.
  5. Enter your personal Educloud password.
  6. The Horizon Client will now connect to Educloud. Open the option Windows Educloud Desktop.

The screen will turn black for a few seconds before you are logged into VID's Educloud project.

5. Finn din mappe

Once you are logged into Educloud, you can find the folder for your master's project:

  1. Click on File Explorer (the folder icon) and then This PC.  
  2. Locate your Educloud server under Network locations, for example, "ec279".  
  3. Go to MASTERPROSJECT. Your folder will be located here.  

NB: Only you and your supervisor have access to your folder in the project, and this is where you should store your data. It is important that you keep all data you need to save within this folder.

If you cannot find your folder, it may not have been created yet. Please contact the library for assistance.

How to connect to Nettskjema

Nettskjema can be used to collect survey responses, and together with the Nettskjema dictaphone app, you can record interviews. The data you collect using Nettskjema can be sent to Educloud for secure storage.

1. Create a connection

  1. Go to nettskjema.no and sign in with your VID Feide account.
  2. Click on Create form.
  3. Include your name in the title of the form.
  4. If you're creating a survey, select TSD or Educloud questionnaire.
  5. If you plan to use the Nettskjema dictaphone to record interviews, choose Get form from template (Consent form, dictaphone, etc.), then Nettskjema-diktafon - storage in TSD and Educloud.
  6. Complete the form creation.
  7. If you're making a survey, use the form builder to add questions. Go to the codebook to add values for all questions and answers in your form.  
  8. Once the form is ready, go to the TSD/Educloud tab and click Connect.
  9. Choose Connect the form to Educloud and click Log in with Educloud.
  10. Log in to Educloud using your username, password, and a one-time code from Microsoft Authenticator.

NB: By default, survey results/recordings will be accessible to other master's students in your faculty. Before collecting data, you need to update permissions so that only you, the admin group, and possibly your supervisor have access:

  1. In the Educloud tab, under Permissions, click on Change to Read data.  
  2. Remove ec<project>-member-group.  
  3. Find your username in the dropdown, click Add, and Save.  
  4. Add your username to Change data and Delete data as well.

2. Get access to data

  1. Sign in to Educloud through the Horizon Client.
  2. Open a web browser and go to nettskjema.educloud.no.
  3. Log in and click on the project, for example, "ec279".
  4. Find and click on your Nettskjema.
  5. Download the survey results or individual audio files.
  6. Immediately move the downloaded files from the downloads folder to your own folder.
